Guide to the signature of documents with GoSign Desktop

WHAT I NEED

  1. A valid QES certificate;
  2. The email address I have chosen as the Username and the Password;
  3. The security PIN of the QES certificate;
  4. The mobile phone on which I installed the MyInfoCert app from which to obtain the OTP codes;
  5. A computer document to be signed;
  6. The GoSign Desktop software version updated to the operating system on my workstation. functions and commands used by GoSign Desktop do not change when in different environments. The differences found, related to operating systems, concern the name assumed by the command to select documents (Open rather than Choose) or to close the program.

WHAT TO DO (INDEX)

GoSign Desktop allows me to digitally sign and allows my interlocutors to verify the validity of the signature affixed to the document. Here are the activities I can manage through the software:

  1. start of the activity to access my remote certificate;
  2. standard signature mode (CAdES), allows me to obtain a document that will be presented as a file .p7m;
  3. PDF signature mode (PAdES) allows me to obtain a document that will be presented as a .pdf file. Obviously this mode is applicable only to documents with pdf format and also in this case a remote certificate will be required;
  4. verification of a signed document validity;
  5. closure of activities.

STARTING ACTIVITIES

A double-click on the icon, starts the GoSign Desktop program

which allow me to access the home page of my software, from which I will be able to sign or verify the signature attached to a document.

 
Since I would like to use my remote signature certificate, I should start by taking advantage of the Configuration function marked with the gear icon, and select the page dedicated to the Digital ID account.

 
Within this area I have the possibility to insert:

  • the Username to login to the service, (the email address I used during registration);
  • the Password that I customized when requesting my QES certificate.

This way I can add my remote certificate to the tools that GoSign Desktop can use when signing a document.

GoSign Desktop confirms the activation of my remote signature certificate.

SIGNATURE of A P7M DOCUMENT

Passing the mouse over the Signature box and rotating, grants me access to the list of signature features.

 
Using GoSign Desktop, enables me to have the Signature option available which allows me to select the document to be signed and to use it in the software.
The Multiple Signature and Counter-Signature options, in gray, are available in the PRO version.

GoSign Desktop presents me the details of the document (type, size, etc.) and, if necessary, it can provide me the Open document button to display it.

Moreover, GoSign Desktop notifies that I am about to perform a signature that will produce a document in .p7m format, that is to standard CAdES.
I can then proceed with a click on the Continue button.

 
Before starting the actual signing process, I verify that I have a QES certificate, necessary to sign.

A click on the Update button enables me to associate the QES certificate with the available signature tools in GoSign Desktop.

 
After selecting the Remote signature option, I can proceed with the signature of the document.

 
The process starts with the insertion of the PIN for the protection of my certificate in the dedicated Enter the PIN blank; it is followed by the selection of the folder in which I want to store the signed document.
GoSign Desktop offers a possible route as the Save to folder blank. I can accept what was suggested or make a change using the button next to the field.
A click on the Sign button advances the process of signing the document: GoSign Desktop, in fact, ask me to enter the OTP digits, the numeric code that I can get using the MyInfoCert app installed on my mobile phone.

 
At the end of the signing process, which takes a few seconds, GoSign Desktop confirm that the activity has been successfully completed.

PDF SIGNATURE OF A DOCUMENT

GoSign Desktop presents me the details of the document (type, size, etc.) nonché un riquadro di visualizzazione che lo contiene e che mi permette di scorrerlo, di ingrandirlo o di produrne un anteprima.
GoSign Desktop informs me that my signed document will be kept in the .pdf format, (ie the signature will be PAdES standard).
I can still sign the document in CAdES using the option in the menu Select signature type.
The View signature option allows me to enrich my PAdES standard signature with a visible graphic annotation, containing the details of the signature itself.
Should I decide to delete the graphic annotation, I would still obtain a document i an .pdf format signed according to the PAdES standard, but without the signature visible on the document.

 
Finally, the Optional parameters allow me to detail the signing process with additional information regarding:

  • the reason why I will digitally sign the document, e.g.: acceptance of the contractual clauses, acceptance of the unfair terms of the contract, expression of my consent to the processing of personal data pursuant to Law 196/2003, etc.;
  • the place where the document is signed;
  • my e-mail address if necessary;
  • the specimen of my graphic signature, as long as I have already scanned it and saved it as an image in my computer (the allowed format is the .jpg.) It is very important to bear in mind that this graphic sign has no legal value and is in no way my digital signature.

By dragging the pointer that appears on the screen, I can define a purple area within the document. The choice of its positioning is left to the initiative of the petitioner: it goes without saying that if I need to digitally sign a contract, I will place the area in the area of the document where the contractor’s signature is to be affixed.

I proceed with a click on the Continue button by checking I have selected the QES certificate option.

A click on the button Add a signature to the PDF permits me to continue the process of signing the document, allowing it to be signed by one or more signatories.

VERIFICATION OF an electronic document validity

The verification of a digitally signed document is as important as the signature activity.

 

The validity of the signed documents

Pointing the mouse on the Verification panel, allows me to access the list of verification functions..

 

Since I am using GoSign Desktop, I have the Verify option that allows me to select the document to be verified and to recall it within the software.
The Multiple verification, in gray color, is available in the PRO version

GoSign Desktop response is immediate and consists of a summary of the verification outcome.

 
A click on the Details button allows me to get more information about the signature (CAdES standard), the signer and the certificate used to sign.
Detailed information includes the update date of the CRL list, which is the list that provides information on revoked, suspended or expired certificates.

 
If I selected a signed document in PDF mode (PAdES standard), the outcome of the verification will produce a summary identical to the previous one.

 
A click on the Details button allows me to get even more information about the signature, the signer and the certificate used to sign as well as the details of the PDF signature: reason, place of signature, possible contact of the signer.
Detailed information includes the update date of the CRL list, which is the list that provides information on revoked, suspended or expired certificates.

CLOSING OF ACTIVITIES

At the end of the activity of signing / checking the validity of a signature, I leave GoSign Desktop with a click on the closing button provided by my operating system.
